Default Situation
Standard users with a relationship to the faculty (students, employees) have 3 electronic accounts at the Faculty of Science. All these three accounts share the same password (obtained from CAS) and the same login (in some systems, supplemented with "@natur.cuni.cz").
- Google Workspace account (all faculty Google services) - mainly faculty email and Google Docs
- Account in unix-like systems - faculty WiFi (Eduroam), login to faculty web, personal websites
- Windows domain account - login to computers joined to the Windows domain PRFUK (computers in classrooms, study rooms, and some workstations of the dean’s office), access to data in the Windows domain PRFUK, MyQ printing system
Other accounts (e.g., CAS, SIS, WebApps) are managed by the Rector's Office, and the policy for their deletion is not under the responsibility of the Faculty of Science, UK. In general, as long as the person has any relationship to the UK, these accounts should be retained.
As long as at least one relationship with the faculty exists (student or employee), faculty accounts are not deleted.
Account Deletion Procedure
The protective period begins on the day the last relationship with the Faculty of Science ends - see Dean’s Decree Article 4: The email account is usually canceled within 1 month after the relationship with the faculty ends and, for students, within 8 months after graduation. The Dean may shorten or extend this period in justified cases. The relevant data is deleted after 3 years from the end of the relationship with the faculty. The same period applies to accounts in unix-like systems and the Windows domain PRFUK.
The protective period is the time when you still have access to the faculty's Google Apps services, including Gmail. You will be notified by an informational email. During the protective period, you have the opportunity to download your data from faculty Google Apps using the Google Takeout service.
After the protective period ends, the accounts will be inaccessible; however, they will not be deleted yet. Emails may still be sent to the faculty email address. Therefore, it is recommended to set up email forwarding and set up a vacation reply to inform senders of your new email address and that you no longer use your faculty address.
